2. DATA WE COLLECT

We collect personal information that you voluntarily provide when you register on our services, participate in event activities, or contact us.

Personal Data (provided at registration)

  • First name and last name
  • Email address
  • Phone number
  • Date of birth
  • Gender
  • Delegation (school/university)
  • Package type (Eco, Standard, Full)
  • Clothing size

Authentication Data

  • Password (stored hashed with PBKDF2-SHA256, never in plaintext)
  • API session tokens

Event Participation Data

  • QR code scans (timestamp, session)
  • Team membership and sport registrations
  • Role (participant, captain, staff, committee)

Payment Data

  • Billing records (package purchased, payment status)
  • We do not store credit card numbers — payments are processed through the Service des Sports Universitaires (SSU)

Camera Usage

We use your device's camera solely to scan QR codes of participants at our event. These codes are linked to participants' accounts but do not contain personal information. We do not store any images collected via the camera.

3. HOW WE USE YOUR DATA
  • Event registration and team management
  • QR code-based attendance tracking at event venues
  • Displaying tournament results and schedules
  • Sending event-related communications
  • Billing and payment verification

We only process your personal information when we believe it is necessary and we have a valid legal basis to do so under applicable law, such as with your consent, to comply with laws, to provide you with services, or to fulfill our legitimate interests.

4. DATA SHARING
  • We do not sell your data to third parties
  • Tournament results (team names and delegations) are publicly visible within the app
  • Google Sheets (Google LLC) is used to display live sport results — no personal data is sent to Google
  • Payment processing is handled by the Service des Sports Universitaires (SSU) of Lausanne
5. DATA STORAGE & SECURITY
  • Data is stored on our servers located in France
  • Passwords are encrypted using industry-standard hashing (PBKDF2-SHA256)
  • API communications are encrypted via HTTPS
  • Access to personal data is restricted to authorized committee and staff members
6. DATA RETENTION

Your data is retained for the duration of the event and up to one (1) year after for administrative and organizational continuity purposes. You may request deletion of your data at any time by contacting us at info@studentsgames.ch.

7. YOUR RIGHTS

Under the Swiss Federal Act on Data Protection (nFADP/LPD), you have the following rights:

  • Right of access — request a copy of the personal data we hold about you
  • Right to rectification — correct inaccurate or incomplete data
  • Right to deletion — request erasure of your personal data
  • Right to data portability — receive your data in a structured, commonly used format
  • Right to object — object to the processing of your personal data

8. COOKIES

The website uses session cookies strictly for authentication purposes. No third-party tracking cookies or analytics cookies are used.

9. AGE REQUIREMENT

This application is intended for university students aged 18 and over. We do not knowingly collect data from minors under 18 years of age.

10. CHANGES TO THIS POLICY

We may update this privacy policy from time to time. Any changes will be posted at this URL: studentsgames.ch/association/policy.
